Most signing delays are not caused by the signing table. They happen because one small detail was missed before the appointment was confirmed.
This checklist is designed for title and escrow teams, signing coordinators, lenders, and real estate professionals who want fewer reschedules and cleaner appointment outcomes.
1. Confirm the signer details match the file
Verify the signer names on the appointment match what is on the documents, and that any known name-variation issues are flagged early. Routing an ID/name mismatch before dispatch is usually faster than trying to solve it at the table.
2. Confirm acceptable ID is available
Ask the signer to have current, acceptable photo identification ready at the appointment start. If the signer has questions about ID acceptability, it is better to route that question before the notary arrives.
3. Confirm the full package and any special requirements
Before confirming time/location, make sure the signing package is complete and final. If there are scanbacks, printing requirements, witness needs, or special signing instructions, include them in the confirmation notes.
4. Confirm time, location, and on-site readiness
Confirm a clear location (including gate/parking notes when relevant), and ensure the signer knows to have the full package ready. For documents requiring notarization or witnessing, signatures often need to happen in front of the notary.
5. Confirm the best contact path for day-of issues
Last-minute issues happen: traffic, package updates, signer questions, or reschedule needs. Include the best day-of contact method for the signing coordinator or escrow team so issues can be handled quickly.
