Commercial loan closing files rarely delay because of the signing table itself. They delay because entity authority was not confirmed early enough.
If the file involves an LLC, corporation, partnership, trust, or power of attorney, use this checklist before you schedule the appointment. It is designed for title, escrow, lender teams, and signing coordinators who want fewer reschedules and cleaner appointment outcomes.
1. Confirm the exact entity name and how it appears on the documents
Commercial documents often require the entity name to match precisely. Confirm the entity’s legal name on the package and note any differences that need to be routed before dispatch.
2. Confirm who is authorized to sign (and in what capacity)
Identify the signer(s) and their signing capacity (member, manager, officer, trustee, attorney-in-fact). If the capacity is unclear, route it before the appointment so the file does not stall at the table.
3. Confirm what supporting authority documents are required
Every file is different. Before scheduling, confirm what authority support is required by the lender/title instructions (for example: resolutions, operating agreement excerpts, certificates, trust certifications, or other file-specific authority documentation).
4. Confirm identification expectations and name formatting
Ask the signer to have current, acceptable photo identification ready at the appointment start. If there is a known name-variation issue, route it early so it is handled through the proper channel.
5. Confirm appointment logistics + return requirements
Commercial files can include scanbacks, special printing instructions, witness needs, and strict return packaging. Confirm time, location, on-site readiness, scanback requirements, and return shipping instructions before confirming the appointment.
6. Confirm the escalation path for day-of issues
If something does not match (name, capacity, package changes, or missing instructions), the fastest path is usually a quick escalation. Include the best day-of contact method for the signing coordinator, escrow team, or lender team so issues can be handled quickly.
Send the signer city, document type, scanback requirements, entity/signing authority notes, and return instructions.
